Photography and Filming Policy
1. Purpose of This Policy
This policy explains how photography and video recording are used within our dance school. We are committed to safeguarding all students while celebrating their achievements and promoting the school’s activities.
2. General Principles
We take the privacy and safety of our students seriously.
We follow UK data protection guidelines when capturing, storing, and sharing images or video.
Parents/guardians provide consent upon enrolment for photography and filming. Consent can be withdrawn at any time.
3. Types of Photography & Filming We Use
A. Social Media & Marketing Content
We regularly take photos and short video clips during:
Classes
Rehearsals
Events
Workshops
These may be used on:
Our official social media accounts
Our website
Printed promotional materials
Only students with active consent will appear in publicly shared content.
B. Annual Dance Show Filming
Our annual show is professionally filmed.
The full show video is made available for parents/guardians to purchase.
By participating in the show, students may appear in the recording.
Students who cannot be filmed may still take part in the show, but we will position them off‑camera where possible.
4. Parent/Guardian Consent
Upon joining the school, parents/guardians complete a consent form covering:
Photography for internal use
Photography for external/public use
Social media posting
Consent can be changed at any time by contacting us in writing. We will update our records promptly.
For our Annual Show, parents complete a consent form specifically for the videography involved in the production.
5. Storage & Security
Photos and videos are stored securely on password‑protected devices or cloud systems.
Only authorised staff have access.
Images are kept only as long as necessary for the purpose they were taken.
6. Use of Photos/Videos by Parents
To protect all students:
Parents may take photos/videos only when permitted, such as at designated photo opportunities.
Photos/videos taken by parents must be for personal use only and must not be shared publicly if they include other children without permission.
Filming or photography during regular classes is not allowed unless specifically authorised.
7. Professional Photographers/Videographers
When we hire professionals:
They are briefed on our safeguarding expectations.
They may only use images for the purposes we instruct.
They must not share or sell images independently.
8. Safeguarding Considerations
We will never:
Use a child’s full name alongside their image in public posts
Share images that may be inappropriate, unsafe, or unprofessional
Tag students in social media posts
If a parent has safeguarding concerns, we will immediately review and remove any relevant content.
9. Withdrawing Consent
If a parent/guardian withdraws consent:
We will stop taking new photos/videos of the student.
We will remove existing images from our platforms where reasonably possible.
Show recordings already produced or sold cannot be edited retrospectively.
