Terms and Conditions
Enrolment and Billing:
When you enrol onto a term of classes it is for the entirety of the school term, which is usually 12-14 weeks. Our term dates follow the local school term dates, with certain exceptions such as voting and village events.
When the next term is upcoming, it is assumed, unless we receive notice otherwise via email, that your dancer will continue those same classes in the next term and they will be automatically re-enroled, leaving you with one less thing to worry about!
You must give 4 weeks’ notice if you need to remove your child from a class for any reason. This gives teachers enough time to make any changes to lesson plans and choreography and contact children on the waiting list.
Please note: Classes may be cancelled or changed due to enrolment numbers or sickness. Where possible, an alternative class will be recommended if a class needs to be removed from the timetable so that every student still has the opportunity to dance with us. Where a class is cancelled due to staff illness, a make up lesson may be scheduled, otherwise, you will receive a refund/class credit. Should a last minute class cancellation occur, you will be notified via email and the CCC Dance and Fitness Family Facebook Group.
Invoices are sent out via email on the first week of term with payment due 14 days from issue.
If your invoice is not paid within 28 days of issue, a 10% Late Fee will be added to your invoice.
You will receive invoice reminders every week up to the 28 days. Please be aware that I update payments on the system manually myself so if you receive an automatic reminder and you have already paid, please just ignore it.

Please include your last name and the purpose of payment when making your payment- eg SOUTOFEES or SOUTOEXAMS. Please ensure you are using YOUR last name that is listed on the system, not your child/children’s last name.
I spend a lot of extra time doing admin work every term, marking payments, chasing payments and inputting them into a spreadsheet for tax purposes and so the is a small Admin Fee added to each invoice.
Policies and Procedures:
CCC Dance and Fitness has the right to drop a student from a class if: - There have been four consecutive absences with no communication from the student's family. - Tuition has not been paid for a certain period of time. This may differ depending on personal circumstance.
Missed Classes: Per our Tuition Policy, we do not prorate tuition for missed classes or holidays. If your dancer misses a class due to illness or being away, you will not be refunded. We try to encourage students not to miss classes as this leads to teachers having to repeat choreography which is counter-productive and not fair to the students who came to the class. However, we appreciate that this is not always possible and will always help to catch students up.
Siblings & and Young Dancers: If you need to bring siblings to class or have multiple children within different classes, please try and keep disruption to a minimum. We appreciate that it isn't easy juggling what each of your children are doing and will always try to be accommodating and allow siblings to sit around at the hall if needed, as long as this doesn't affect the class running. Please do not leave children who are not in the current class unattended.
Student Pick Up: Students line up at the door and cannot leave the premises until a teacher has seen their parent there to collect them. Students may not go to the car park to check if their parents are there, they must be collected at the door. If your child is going home with another parent or someone the teacher is unfamiliar with, please let them know when they are dropped off for class. Similarly, if you need to collect your child early from class, please make the teacher aware so that they can keep an eye on the time and ensure the student is collected promptly.
Uniform:

Students must wear appropriate uniform for health and safety reasons. There are uniform options available that allow pupils to choose the options they feel most comfortable in, however for examinations, uniform is set by the NATD. Correct footwear must be worn for all classes without exception. This is to prevent harm to the feet. No jewellery, watches or Fitbits are to be worn during class. Hair must be completely tied up and off the face.
Toilets and Public Buildings:
CCC Dance and Fitness is in a public building and the toilet/changing areas at Aston on Trent Memorial Hall are also public, so it is therefore advisable that all students attend dressed ready for class where possible. For children who attend multiple classes and need to change between them, it will be at the teachers’ discretion whether the safest and most appropriate place to change is the back room or the toilets. This decision will be made on the public usage of the building on that specific day.
For younger students, a teacher or class helper will accompany them to the toilet. They will not help the student undress or be present in the cubicle itself whilst the student is in there. If your child is unable to undress or go to the toilet on their own, then you must stay in the building during their class to accompany them to the toilet yourself. Junior+ and Senior pupils will be considered old enough to use public toilets unaccompanied or accompanied by a classmate unless we hear from you otherwise. Toileting can cause much disruption to class, particularly amongst younger pupils so we ask that all children use the bathroom before class.
For children in nappies, these must be discarded in the outside bins, please do not put them in the Toilet/Sanitary bins.
Examinations and Performance:
Students at our school can take exams with NATD, at the discretion of their teacher when they have reached a suitable standard. We want the best for our pupils, so we will not enter children for exams who we feel may not pass. Pupils with particularly erratic attendance may find they do not reach exam standard; these students will be allowed to move up to the next grade with their peers but will not be pressed to take the exams. Exams are used to measure success and achievement and so entrance will always be at the teachers’ discretion to avoid failure.
Any Exam Submission Requests or Casting for Performance Opportunities are not set in stone. It is the dancer's responsibility to come to class to learn the material, review choreography in their own time, and inform the teacher if an absence will be taking place.
It is the teacher's right to withdraw a dancer from an exam, role or entire performance if he or she does not attend classes on a continuing basis or displays an attitude or behaviour that is unbecoming.
Casting for a role may be determined by technical requirements & ability, student confidence or recognised dedication. Casting is NOT determined by age or seniority alone.
Exams and Performance Opportunities are available to all students. Reasonable adjustments can be applied if any student has a physical or mental impairment which adversely affects their ability to perform. We strive to be inclusive and will do our upmost to ensure that any child who wants to dance, has the opportunity to. Photography:
At CCC Dance and Fitness we love to use photographs to mark achievements. We will photograph good class work, shows, exam sessions, achievement certificates etc. and we share these on social media platforms and on our website.
We understand the risks associated with sharing photographs and do not share images with a child’s name or other key identifiers. All photos we share are appropriate and relevant to the work we do. During your registration to our Online Portal, you will have been given the option to give Social Media Consent. If you selected No, then we will avoid taking any photos/videos of your child but if they are included, they will be blurred out. You can change your consent decision at any time on your Class Manager account.
Wherever possible we will try to capture as much photo and video footage for you at all events and during class because we want you to experience your child’s dance classes and share in their achievements.
Disclaimer
All physical activity carries risk. At CCC Dance and Fitness we take our health and safety and safeguarding responsibilities seriously. If you take part in any activity at CCC Dance and Fitness, or sign your child up to do so, it must be with an understanding that all dance activity carries some element of risk. We use all our training, skills and knowledge to deliver safe and age-appropriate sessions. You must share this responsibility and inform CCC Dance and Fitness of illness or injury and ensure that you/your child understands the importance of following instruction and the risk of injury associated with not doing so. Health and safety must be followed in terms of correct uniform and footwear and information must be clearly shared with us about any learning needs. Please inform us of any necessary information on your Class Manager account or report illness or injury prior to your child’s class at courtney@cccdanceandfitness.co.uk.
Hall Rules and Tidiness:
We rent our studios by the hour, and when we are not here other people rent it. We ask that you respect the rules of the Memorial Hall, understanding that this is a shared community space and abide by any notices regarding the premise that the Committee choose to issue. We ask that you keep all spaces tidy, that all rubbish is removed and that you bring only minimal belongings to class with you as our dance and storage space is very limited. We want our students to have the nicest dance space possible so please maximise their space and their learning environment by taking away all unnecessary belongings during class time. Please can we ask that you check all dance shoes regularly to ensure that no loose parts are able to damage the hall floors.
Code of Conduct and Policies
CCC Dance and Fitness takes its responsibility to all its pupils seriously, and all staff, pupils and their families should make themselves familiar with our Code of Conduct and Policies here: https://cccdanceandfitness.co.uk/policies. If you have any concerns, worries or complaints these should be raised directly with the school Principal, Courtney Souto. Safeguarding or wellbeing concerns can be discussed with me at any time please just ask, complaints regarding any aspect of our service are to be put in writing for my full consideration. Communication:
The preferred choice of contact for communication is via email at courtney@cccdanceandfitness.co.uk, with the secondary point of contact being via our Facebook page. Please allow 48 hrs for replies. Please avoid text messaging or using WhatsApp for general communication unless initiated by a member of staff. Please be aware of class times as emails will not be seen/responded to during these times. If anything is urgent/needs to be sent not long before your child's class, please do so via the Facebook page, however, we still cannot guarantee that it will be seen.
If you have a question, please check our website FIRST. We have spent a lot of time adding as much information as possible to the Classes Tab and FAQ page so that the information is easily accessible.
Information regarding the school (term dates, shows, exams, holidays etc) is sent via email and published on our CCC Dance and Fitness Family Group on Facebook. Please make sure that you read your emails from us carefully. We will not take responsibility for not notifying you if you did not read the announcements.
